Rental Terms & Conditions

01Booking & Payment
A reservation is confirmed once you receive a written confirmation from us and the deposit (or full payment, for same-day rentals) has been made. Quotes are valid for 14 days. Rates are per day unless stated otherwise; weekend rate (Friday pickup — Monday return) is 1.5× the daily rate, a full week is 3× the daily rate.
02Security Deposit
A refundable security deposit is held on a credit card before the equipment leaves our warehouse. The amount depends on the replacement value of the gear (typically $100–500; high-value systems may require more). The hold is released within 24 hours after the equipment is returned and inspected.
03Rental Period & Late Returns
The rental day runs until 12:00 PM (noon) the day after your event unless agreed otherwise. Late returns are billed at 50% of the daily rate per day for the first two days and 100% of the daily rate per day thereafter.
04Delivery, Setup & Pickup
- Delivery, setup and pickup within Los Angeles County start at $75 each way, quoted by distance and load size.
- Free customer pickup from our North Hollywood warehouse by appointment (Mon–Sat 10:00–19:00). A valid government-issued photo ID matching the reservation name is required.
- The client must ensure reasonable access (parking, elevators, load-in path) at the venue. Waiting time and special access conditions may incur additional charges.
05Cancellations & Rescheduling
- More than 48 hours before the rental start — free cancellation, full refund of any payments.
- Within 48 hours — 50% of the booking total is charged.
- Same-day cancellations and no-shows are non-refundable.
- One free date change is allowed up to 48 hours before the rental, subject to availability.
06Equipment Care & Responsibility
From the moment of delivery or pickup until return, the client is responsible for the equipment. Please:
- Keep equipment protected from rain, liquids, sand and extreme heat;
- Do not open enclosures, modify wiring or bypass limiters;
- Use only the cabling and power supplied or approved by us;
- Do not leave equipment unattended in public spaces or parked vehicles overnight.
07Damage, Loss & Theft
Normal wear and tear is on us. Damage caused by misuse, liquids, overpowering or negligence is billed at the actual repair cost; lost or stolen items are billed at full replacement value, less any recovered deposit. An optional damage waiver reducing your liability is available on request — ask when booking. A police report is required for theft claims.
08Outdoor Use & Weather
Outdoor use must be declared at booking. Equipment must be under cover and on dry ground at all times. We may pause or cancel outdoor operation during rain, high wind or unsafe conditions; weather-related interruptions do not qualify for refunds unless we cannot provide the service at all.
09Power Requirements
The client is responsible for providing adequate, grounded power at the venue unless a generator is included in the order. Damage caused by faulty venue power is the client's responsibility.
10Special Effects
Cold spark machines, haze, low fog, CO2 and confetti effects are operated in accordance with manufacturer guidelines and, where required, only by our technician. The client is responsible for confirming that the venue permits such effects (including smoke detector isolation where applicable) and for any venue-imposed fees or fines.
11Liability
Syndicate Production's liability under any claim is limited to the total amount paid for the rental. We are not liable for indirect or consequential losses (including event interruption or lost profits) beyond that amount. Nothing in these terms limits liability that cannot be limited under California law.
12Governing Law
These terms are governed by the laws of the State of California. Any disputes will be resolved in the courts of Los Angeles County, CA.
